TERMS & CONDITIONS
HENAN ASSET PADEL PRIX PRIVÉ
These Terms & Conditions apply to all participants, approved guests, vendors, sponsors, and attendees of Henan Asset Padel Prix Privé (“Event”), organized by PT Emang Jago Luhukay / Cornerstone Collective and the Padel Prix team (“Organizer”).
By registering for, attending, or participating in the Event, you confirm that you have read, understood, and agreed to these Terms & Conditions and the Privacy Policy below.
- EVENT ADMISSION AND REGISTRATION
1.1 This Event is private and invitation-only. Submission of the registration form does not automatically guarantee participation or entry.
1.2 Only registered participants and approved guests confirmed by the Organizer will be allowed entry.
1.3 The Organizer reserves the right to approve, reject, reclassify, or cancel any registration at its sole discretion, including for capacity, eligibility, safety, event flow, category balance, or guestlist curation reasons.
1.4 Each confirmed participant must present their unique QR code upon arrival. The QR code is linked to the participant’s registration and may be used for check-in, wristband distribution, food and beverage access, sponsor activations, and other Event privileges.
1.5 QR codes and wristbands are personal and non-transferable. They may not be sold, shared, duplicated, or transferred to another person without the Organizer’s prior approval.
1.6 Lost, damaged, misused, or transferred QR codes or wristbands may not be reissued.
1.7 Additional guests not listed in the registration form and not approved by the Organizer may be refused entry and will not receive wristbands or Event access.
1.8 Participants must arrive by 9:00 AM sharp. Registration closes at 9:30 AM. The tournament starts at 10:00 AM sharp. Late arrivals may lose tournament eligibility, prize eligibility, or be replaced in the match system.
- REGISTRATION FEE, PAYMENT, AND REFUND POLICY
2.1 If a registration fee applies, payment must be completed according to the Organizer’s instructions and deadline.
2.2 A slot is only confirmed after the Organizer has approved the registration and payment has been received, unless otherwise confirmed in writing by the Organizer.
2.3 Registration fees are non-refundable once confirmed, except where the Organizer decides otherwise at its sole discretion.
2.4 Participant substitutions may be allowed only with prior written approval from the Organizer and subject to category, skill level, timing, and event flow.
2.5 If the Event is postponed due to weather, venue issues, force majeure, safety concerns, sponsor requirements, government restrictions, or other circumstances beyond the Organizer’s reasonable control, the Organizer may reschedule the Event and carry confirmed registrations forward to the new date.
- TOURNAMENT FORMAT AND PARTICIPATION
3.1 The Event will use an Americano-style format with individual scoring, unless adjusted by the Organizer.
3.2 Participants may be divided into Bronze and Silver categories based on self-declared level, Organizer assessment, available slots, and overall match balance.
3.3 The Organizer reserves the right to move participants between categories to preserve fairness, safety, and event quality.
3.4 Participants must follow the tournament format, scoring instructions, timing, court assignments, and decisions of the Organizer, court managers, scoring team, and appointed officials.
3.5 The Organizer may adjust match duration, scoring system, round structure, category allocation, court usage, or prize criteria where needed for timing, safety, weather, venue operations, or overall Event flow.
3.6 Any player who leaves early, arrives late, fails to check in on time, does not follow instructions, or disrupts the Event may be disqualified or removed from prize eligibility.
- HEALTH, SAFETY, AND PHYSICAL CONDITION
4.1 Participation in padel, sports activities, social activities, sponsor activations, alcohol consumption, recovery treatments, and other Event activities is voluntary and at each participant’s own risk.
4.2 Participants are responsible for assessing their own health, fitness, and physical condition before participating.
4.3 If you have any medical condition, injury, pregnancy-related concern, heart condition, respiratory issue, recent illness, or other health risk, you should consult a doctor before attending or participating.
4.4 Participants must warm up properly, use proper equipment, and follow all safety instructions.
4.5 Participants must immediately stop playing or participating in an activity if they feel pain, dizziness, shortness of breath, discomfort, illness, or any other concerning symptom.
4.6 The Organizer may refuse or stop a participant’s participation if the Organizer reasonably believes the participant may pose a risk to themselves or others.
- ALCOHOL, FOOD, AND BEVERAGES
5.1 Alcohol will be served at the Event. Participants and guests must drink responsibly.
5.2 Alcohol will only be served to attendees of legal drinking age.
5.3 The Organizer reserves the right to refuse alcohol service to any person who appears intoxicated, behaves inappropriately, creates safety concerns, or violates Event guidelines.
5.4 Participants are responsible for informing the Organizer and/or vendors of any allergies, dietary restrictions, or medical restrictions. The Organizer is not responsible for allergic reactions, food sensitivities, or dietary issues unless caused by proven gross negligence.
5.5 Outside food and beverages may be restricted, especially where official sponsors or vendors are appointed for specific categories.
- SPONSOR ACTIVATIONS AND VENDOR ACTIVITIES
6.1 The Event may include sponsor booths, product displays, games, sampling, product trials, lifestyle experiences, automotive displays, F&B stations, alcohol service, wellness/recovery activations, giveaways, and other brand activations.
6.2 Participation in sponsor or vendor activities is voluntary and may be subject to additional instructions, safety rules, consent forms, or eligibility requirements.
6.3 Some sponsor activations may request participants to provide personal data directly to the sponsor or vendor. This will only occur where participants voluntarily opt in or provide their details directly.
6.4 The Organizer is not responsible for a participant’s separate personal data sharing with sponsors or vendors where such data is provided directly and voluntarily to that sponsor or vendor.
6.5 Participants must follow all reasonable directions from sponsors, vendors, venue staff, and Organizer representatives while engaging in sponsor activations.
- USE OF QR CODES AND WRISTBANDS
7.1 QR codes and wristbands may be used for check-in, access control, food and beverage access, activity redemption, goodie bag distribution, prize eligibility, and sponsor activation participation.
7.2 Participants must keep their QR code secure and must not share it with unauthorized individuals.
7.3 Only official Event staff, approved vendors, approved sponsors, or authorized representatives may scan QR codes or validate wristbands.
7.4 Misuse, duplication, sharing, or unauthorized transfer of QR codes or wristbands may result in cancellation of Event access, benefits, and prize eligibility.
- PRIZES, GIVEAWAYS, AND AWARDS
8.1 Prizes and giveaways may be awarded based on tournament results, sponsor activations, lucky draws, best-dressed awards, sportsmanship awards, participation, or other criteria determined by the Organizer.
8.2 All prize criteria, eligibility, and final decisions are determined by the Organizer.
8.3 Prizes are non-transferable, non-exchangeable, and not redeemable for cash, unless expressly stated otherwise.
8.4 The Organizer reserves the right to substitute any prize with another prize of equal or reasonably comparable value if the original prize becomes unavailable.
8.5 Winners may be required to participate in photo/video documentation, winner announcements, sponsor handovers, and reasonable promotional content related to the prize.
8.6 Taxes, delivery costs, fitting limitations, redemption requirements, warranty matters, or additional costs related to prizes may be subject to the relevant sponsor’s or vendor’s own terms.
- MEDIA CONSENT AND CONTENT USAGE
9.1 By attending the Event, participants and guests consent to being photographed, filmed, recorded, livestreamed, and otherwise documented by the Organizer, sponsors, media partners, photographers, videographers, content creators, and approved representatives.
9.2 The Organizer may use Event photos, videos, audio, names, likenesses, social media handles, statements, and Event-related content for documentation, social media, marketing, press, sponsor reporting, future event promotion, and portfolio purposes.
9.3 Such usage may include publication on Instagram, TikTok, YouTube, websites, presentations, sponsor reports, media kits, recap videos, paid boosted posts, and other digital or offline materials.
9.4 The Organizer will use reasonable care to present participants respectfully and in line with the premium nature of the Event.
9.5 Participants who have specific concerns regarding media capture should inform the Organizer before the Event. The Organizer will make reasonable efforts to accommodate, but cannot guarantee exclusion from all background or crowd footage.
- CONDUCT AND EVENT ETIQUETTE
10.1 Participants and guests must behave respectfully toward other attendees, sponsors, vendors, venue staff, Organizer staff, and the surrounding community.
10.2 Harassment, aggressive behavior, discrimination, intoxicated misconduct, unsafe play, property damage, cheating, verbal abuse, or disruptive conduct will not be tolerated.
10.3 The Organizer reserves the right to remove any person from the Event, cancel their access, or disqualify them from prizes if they violate these Terms & Conditions or behave in a way that may harm the Event, attendees, sponsors, vendors, venue, or Organizer.
10.4 Participants are responsible for any damage they cause to venue property, sponsor property, vendor equipment, Event materials, or third-party property.
- PERSONAL BELONGINGS
11.1 Participants and guests are responsible for their own belongings, including phones, wallets, bags, watches, jewelry, rackets, shoes, clothing, and valuables.
11.2 The Organizer, sponsors, vendors, and venue are not responsible for lost, stolen, misplaced, damaged, or unattended items.
- LIABILITY WAIVER
12.1 To the maximum extent permitted by law, the Organizer, sponsors, vendors, venue, staff, contractors, partners, officers, directors, employees, and representatives shall not be liable for any injury, illness, accident, loss, damage, delay, theft, or cost arising from attendance, participation, sports activity, alcohol consumption, food and beverage consumption, sponsor activations, or any Event-related activity.
12.2 Nothing in these Terms & Conditions excludes liability that cannot legally be excluded under applicable law.
12.3 Participants agree to indemnify and hold harmless the Organizer from claims, losses, damages, costs, or liabilities arising from their own misconduct, negligence, breach of these Terms & Conditions, or violation of law.
- EVENT CHANGES, POSTPONEMENT, AND CANCELLATION
13.1 The Organizer may change the schedule, venue layout, match format, activity list, sponsor lineup, vendors, prizes, food and beverage offerings, guest policy, or Event flow when reasonably necessary.
13.2 The Organizer may postpone, reschedule, modify, or cancel the Event due to force majeure, weather, safety issues, government restrictions, venue issues, sponsor requirements, operational issues, or other circumstances beyond reasonable control.
13.3 The Organizer will communicate material updates through official Event communication channels.
- AMENDMENTS TO TERMS
14.1 The Organizer may update these Terms & Conditions at any time.
14.2 Updates will be communicated through the official Event WhatsApp group, email, registration platform, or other official channels where reasonably necessary.

This Privacy Policy explains how PT Emang Jago Luhukay / Cornerstone Collective and the Padel Prix team (“Organizer,” “we,” “us,” or “our”) collect, use, store, and protect personal data in connection with Henan Asset Padel Prix Privé.
By registering for, attending, or participating in the Event, you acknowledge and agree to this Privacy Policy.
- PERSONAL DATA WE COLLECT
We may collect personal data during registration, event preparation, check-in, and Event participation, including:
- full name;
- phone number / WhatsApp number;
- email address;
- gender;
- padel level, playing frequency, or category selection;
- racket rental needs;
- guest names and guest details;
- emergency or operational notes voluntarily provided;
- payment confirmation, if applicable;
- QR code and wristband usage records;
- photo, video, audio, likeness, social media handle, and Event-related content;
- sponsor activation opt-in information, where voluntarily submitted.
- PURPOSES OF DATA USE
We use personal data for the following purposes:
- reviewing and confirming registration;
- managing invitation-only access and guestlist curation;
- assigning tournament categories and match flow;
- issuing QR codes and wristbands;
- managing check-in and venue access;
- providing food, drinks, goodie bags, prizes, and Event privileges;
- communicating Event updates, reminders, rules, and schedules;
- managing safety, logistics, and operations;
- coordinating sponsor activations where applicable;
- documenting and promoting the Event;
- preparing post-event recaps, sponsor reports, and internal reporting;
- complying with applicable laws, contractual obligations, and legitimate operational needs.
- LEGAL BASIS AND CONSENT
3.1 We process personal data based on participant consent, Event registration, legitimate Event operations, contractual necessity, and/or compliance with applicable laws.
3.2 By submitting the registration form, you consent to the collection and use of your personal data for Event-related purposes.
3.3 By attending the Event, you consent to photo and video documentation as described in these Terms & Conditions and this Privacy Policy.
3.4 Where sponsor or vendor follow-up requires additional consent, such consent will be requested separately through an opt-in mechanism or direct voluntary submission.
- QR CODE AND WRISTBAND DATA
4.1 QR code and wristband scans may be used to verify check-in, access control, food and beverage redemption, goodie bag collection, sponsor activation participation, and other Event benefits.
4.2 QR and wristband data will be used only for Event operations, reporting, access control, and benefit distribution.
4.3 We will not use QR or wristband scans for unnecessary tracking beyond Event-related purposes.
- SPONSORS, VENDORS, AND THIRD PARTIES
5.1 We may share limited personal data with approved Event vendors, service providers, or sponsors where necessary for Event operations, such as registration, check-in, wristbanding, F&B access, prize fulfillment, photography, videography, security, or technical systems.
5.2 Sponsors may collect personal data directly from participants during activations, booths, lucky draws, games, product trials, or follow-up offers. Such collection should be voluntary and may be governed by that sponsor’s own privacy notice or consent process.
5.3 We do not sell personal data to third parties.
5.4 We may share aggregated or non-personally identifiable event metrics with sponsors, such as attendance numbers, content reach, activation participation counts, and general audience insights.
- MEDIA AND MARKETING USAGE
6.1 Event photos, videos, and other documentation may be used for Event recaps, social media, sponsor reports, future promotional materials, press materials, presentations, and portfolio purposes.
6.2 Content may appear on channels including but not limited to @mluhukay, @padelprixtournament, @speedcreed, sponsor channels, vendor channels, and related media or promotional platforms.
6.3 Participants may be tagged or mentioned where appropriate, especially where they voluntarily post, tag, or engage with official Event content.
- DATA STORAGE AND SECURITY
7.1 We will take reasonable steps to store personal data securely and protect it from unauthorized access, misuse, loss, alteration, or disclosure.
7.2 Access to personal data will be limited to Organizer team members, approved vendors, and service providers who need access for Event-related purposes.
7.3 Participants should avoid sharing QR codes, private links, or personal data with unauthorized persons.
- DATA RETENTION
8.1 We retain personal data only for as long as reasonably necessary for Event operations, recap distribution, sponsor reporting, legal or accounting records, dispute handling, future invitation management, and legitimate business purposes.
8.2 Event media may be retained for archival, portfolio, promotional, and historical documentation purposes unless a specific removal request is approved by the Organizer.
- PARTICIPANT RIGHTS
Subject to applicable law, you may request to:
- access your personal data;
- correct inaccurate personal data;
- update incomplete personal data;
- withdraw certain consent;
- request deletion of personal data where legally and operationally possible;
- ask questions about how your personal data is used.
Requests may be subject to identity verification and legal, contractual, operational, archival, or legitimate business limitations.
- CHILDREN AND GUEST DATA
10.1 If children or minors attend as approved guests, the registering adult confirms that they are authorized to provide the child’s or minor’s details and consent to their attendance.
10.2 Parents or guardians remain fully responsible for supervising children and minors at all times.
10.3 Children and minors may appear incidentally in Event photos or videos. If a parent or guardian has specific concerns, they should inform the Organizer before the Event.
- POLICY UPDATES
11.1 We may update this Privacy Policy from time to time.
11.2 Material changes will be communicated through the official Event WhatsApp group, email, registration platform, or other official channels where reasonably necessary.
